Amazon FBA Ledger Entries

This page shows Amazon's inventory ledger for your FBA inventory: which units Amazon found, lost, damaged, disposed of, received or sent back to you in its fulfillment centers – and how far each of these movements is posted in Business Central. Suggest FBA Adjustments turns each new entry into a line of its own in the item journal, with the reason code of its Amazon reason. This way, each movement at Amazon appears individually in the item ledger entries instead of disappearing in a single difference.

Where the Entries Come From

With FBA turned on, the returns import (the REFUNDS job or Import Returns on the Amazon Dashboard) reads Amazon's inventory ledger (report GET_LEDGER_DETAIL_VIEW_DATA) once a day for each marketplace with Use for Orders, in three parts:

Event Type What it is
Adjustment Units that Amazon found, lost, damaged, disposed of or moved to a different condition. The Amazon Reason tells you what happened.
Receipt Units that Amazon received from one of your shipments. The Reference ID is the number of the shipment (FBA15…).
Removal Units that Amazon sent back to you, disposed of or liquidated with a removal order. The Reference ID is the order ID of the removal order.

The import does not read sales and customer returns: they have documents of their own in Business Central (sales orders, credit memos, see Amazon Returns). Transfers between Amazon's fulfillment centers stay on the one FBA location.

The first run reads nothing from the past – what happened before is already contained in the FBA inventory that the reconciliation starts from. An Amazon Data Takeover makes the inventory ledger start at its cut-over date. Each further run starts one day before the last one, so that lines that Amazon adds late also arrive. In the European fulfillment network, the same line comes with the report of each marketplace; it is taken over only once.


What the Suggestion Makes of Them

Suggest FBA Adjustments replaces the lines of the FBA adjustment journal from the Amazon Settings:

  1. Each entry with status New becomes a line: an increase or decrease of the Qty. (Base) on the Location Code, with the reason code of its Amazon reason from the Amazon FBA Adjustment Reasons, the description Amazon Adjustment: Misplaced at the fulfillment center (date) or similar, and the External Document No. FBA-LE- plus the entry no. of the entry. The entry gets the status Suggested.
  2. After that, each item gets only one more line for the difference that remains to Amazon's current inventory, with the FBA Reconciliation Reason Code.

Nothing is posted until you post the journal. At the next suggestion, the connector recognizes by the External Document No. which lines were posted (status Posted); the entries of deleted lines go back to New and come into the journal again.

Not every entry becomes an adjustment line:

  • Receipts from your FBA shipments instead set the quantity to receive on the transfer order of the shipment (see Amazon FBA Shipments); the entry gets the status On Transfer Order, the Document No. is the number of the transfer order. If no transfer order has goods in transit for a receipt, the connector suggests it as an adjustment.
  • Units sent back by a removal order travel on the transfer order of this order to your FBA Removal Location Code (see Amazon FBA Removal Orders); they also get the status On Transfer Order. Disposals and liquidations become adjustments with the reason code of their removal type. Without a removal location, units sent back are also suggested as a decrease.
  • A removal whose order has not been read yet, or that the order does not show as sent back yet, waits; Not Suggested Because gives the reason. The remaining-difference line also leaves its units alone. After waiting 14 days, it becomes an adjustment line.

Fields

Field Description
Event Date Day on which Amazon recorded the movement.
Event Type Adjustment, Receipt or Removal (see above).
Amazon Reason Amazon's reason code of an adjustment, e.g. M for misplaced, F for found or D for disposed of. The Amazon FBA Adjustment Reasons set which reason code belongs to it.
SKU Your SKU of the units.
FNSKU Amazon fulfillment number of the units (hidden by default).
ASIN ASIN of the units (hidden by default).
Quantity Units as Amazon counts them: positive if they were added to your inventory at Amazon, negative if they left it. For the SKU of a pack, it counts packs.
Condition Condition of the units, e.g. SELLABLE, CUSTOMER_DAMAGED or WAREHOUSE_DAMAGED. Unsellable units go to the FBA Unsellable Location Code if one is set up.
Fulfillment Center Fulfillment center in which the movement took place.
Country Code Country of the fulfillment center.
Reference ID Amazon's reference of the movement, e.g. the number of the shipment for a receipt or the order ID for a removal.
Status State in Business Central, color-coded (see below).
Item No. Item the SKU stands for; the suggestion fills it in.
Variant Code Variant the SKU stands for (hidden by default).
Qty. (Base) Units in the base unit of measure of the item: for the SKU of a pack, the quantity times the pack size.
Location Code Location on which the suggestion posts: the FBA location, for unsellable units the FBA unsellable location.
Document No. Document number of the suggestion's journal line, or the number of the transfer order (hidden by default).
Qty. Cleared For a loss, the units that Amazon reimbursed or found again; for a find, the units with which it cleared earlier losses (hidden by default). See Amazon FBA Open Losses.
Loss Open Units of the loss are neither reimbursed nor found again, and nobody has closed it manually (hidden by default).
Claim Deadline Last day on which you can file a reimbursement claim in Seller Central for units of the loss that were neither reimbursed nor found again (hidden by default).
Not Suggested Because Why the last suggestion left out the entry, e.g. No item has the SKU … on Amazon., Item … is blocked or uses item tracking; post this movement by hand. or a removal order that has not been read yet. The next suggestion tries again.
Marketplace Marketplace whose report brought the line first (hidden by default).
Imported At When the entry was read from Amazon (hidden by default).

You can add further loss fields – Reimbursable Loss, Reimbursement ID, Fully Cleared and Closed Manually – with Personalize if needed.

Status

Status Meaning
New Waits for the next suggestion. Red if Not Suggested Because is filled in.
Suggested (yellow) Is a line in the FBA adjustment journal, not posted yet.
Posted (green) The line is posted and appears in the item ledger entries.
On Transfer Order (gray) Receipt of an FBA shipment or units sent back by a removal order: the units are posted on a transfer order, not as an adjustment.
Ignored (gray) Is left out of every suggestion.

Actions

Action Description
Suggest FBA Adjustments After a confirmation, takes over each new ledger entry with the reason code of its Amazon reason into the FBA adjustment journal, and after that the remaining difference to Amazon's current inventory. The message states the number of suggested lines and of the items and ledger entries left out. Nothing is posted until you post the journal. The same action is available in the Amazon Items list.
Ignore Leaves the selected entries with status New out of every suggestion – for movements that you post differently.
Reopen Takes the selected ignored entries back into the next suggestion.
FBA Adjustment Reasons Opens the Amazon FBA Adjustment Reasons: which reason code belongs to which Amazon reason.

Tips

Before the first suggestion

In the Amazon FBA Adjustment Reasons, assign a reason code to each Amazon reason, and enter the FBA Reconciliation Reason Code in the Amazon Settings. The item ledger entries of the FBA location will then show why the inventory at Amazon changed.

Requirement for the suggestion

The suggestion needs a complete fetch of the FBA inventory from the last 24 hours (the FBA_INVENTORY job or Refresh FBA Inventory in the Amazon Items list). Otherwise it stops with a message.

Losses and reimbursements

If Amazon loses or damages units in the fulfillment center, it owes you a reimbursement. Such entries are also listed on the Amazon FBA Open Losses page until Amazon reimburses them or finds the units again.
