Automatic Processing
The auto-sync keeps orders, invoices, and price exceptions up to date without intervention and — depending on the switch settings — writes the reported data into your BC documents.
Job Queue
At installation, the connector creates a Job Queue Entry in the On Hold status. It is activated via the Setup (switch Enable Auto Sync + action Create/Update Job Queue).
| Property | Value |
|---|---|
| Category | ALNMCB — BlueStar jobs run sequentially so that token requests do not interfere with each other |
| Run window | Monday–Friday, 06:00–20:00 |
| Interval | Sync Interval (Minutes) from the setup (default 60) |
| Error behavior | 3 attempts, 60 s apart |
Flow of a Sync Run
- License gate — without an active connector or a valid license/demo, the run ends silently.
- Price exceptions — the PE mirror is renewed once a day.
- Per open order (transmitted, not invoiced/canceled):
- Retrieve status and tracking from the API; report new tracking numbers to the Hub tracking bridge.
- Import newly reported invoices — incl. the PDF attachment on the Purchase Order and the Despatch Advice (serial numbers).
- Apply the document automation (see below).
- Each order is completed individually: an error on one order does not stop the run but lands as Last Sync Error on the order and in the Hub activity log.
- Log & notification — the run writes a line into the Hub Import Log (synchronized / no changes / no document / failed) and sends the summary email when there was activity or errors.
The same flow can be started manually at any time: Process All Orders on the dashboard or the order list (with progress display and result dialog).
Document Automation
Four switches in the Setup control what the sync writes into your documents from the reported BlueStar data:
| Switch | Effect |
|---|---|
| Auto Update Purchase Order | Writes the BlueStar order and invoice number into the vendor fields (only when empty — manual entries survive) and the reported delivery dates as Promised Receipt Date onto the still-open lines. The order's date chain recalculates as a result. |
| Auto Update Sales Shipment Date | Mirrors the delivery dates through the drop shipment link as Planned Shipment Date onto the sales lines — the end customer's date follows reality. |
| Auto Assign Serial Numbers | Takes over the serial numbers of the Despatch Advice as Item Tracking; for drop shipments including the mirror reservation on the sales line. |
| Auto Post Receipt | Posts the Receipt as soon as BlueStar reports the order as fully shipped. The Qty. to Receive comes from the reported line quantities (capped at the remaining quantity). If a receipt already exists, it is skipped instead of posted twice. |
Released orders
If the automation has to change lines of a released order, it briefly reopens the document and releases it again afterwards — logged in the processing log. Orders without changes are never touched.
Receipt only on complete delivery
BlueStar reports the delivery status per line, not per partial quantity. The automatic posting therefore deliberately only kicks in once the entire order is reported as shipped — partial deliveries are posted manually.
Monitoring
- Dashboard — KPI Sync errors (24 h) and the connection card (last sync, next sync, last PE refresh); every figure clickable.
- Order list — column Last Sync Error (red) per order; the hidden column Last Sync Attempt for diagnostics.
- Hub monitor — orders whose sync has been failing for more than 48 hours appear as a hint line in the central merchantCENTRAL monitor.
- Summary email — after every run with synchronizations or errors (switch Send Process Notification), including a detailed log.
