Amazon EAN-ASIN Best Match Export

The best match export creates the Excel workbook that Amazon requires for matching your assortment (EAN-ASIN Best Match Input). In it, Amazon takes seller SKU, barcode, brand and title, matches the items against existing ASINs and reports the matches back.

The export is useful for items whose ASIN the Amazon Catalog Search did not find: Amazon additionally matches fuzzily by brand and title and thus finds ASINs that a pure EAN search does not return.

Opening the Report

  • Via search: Amazon EAN-ASIN Best Match Export
  • Via the Amazon Items list → Export Best Match File

Options

Option Description
Marketplace Amazon marketplace whose listings supply SKU, barcode, brand and title. Prefilled with the home marketplace. Best match files are submitted to Amazon per marketplace.
Only Items Without ASIN Skips items that already have an ASIN. Default: on.
Fill Gaps from Supplier Data Allows barcode, brand and title from the supplier data if the Amazon item and the item card leave them empty. Default: off – see the note below.
Add Sheet with Skipped Items Adds a second sheet to the workbook with all skipped items and the reason for each. Default: on.

The usual item filters are also available: No., Item Category Code, Vendor No. and Blocked.

Where the values come from

For each item, the Amazon item of the selected marketplace is read. For each column, the first source that is filled applies:

Column Order of sources
Seller SKU SKU of the Amazon item → BC item number
UPC/EAN EAN of the Amazon item → GTIN of the item card → GTIN from Supplier Data*
Brand Brand of the Amazon item → Manufacturer of the Amazon item → Brand from Supplier Data → manufacturer name from Supplier Data
Title Title of the Amazon item → item description → short description from Supplier Data*, truncated to 200 characters

* only with the Fill Gaps from Supplier Data option turned on

The SKU must match the listing

The exported SKU is exactly the SKU that the connector uses when listing. Amazon creates the offers under this SKU – if a different number is supplied (such as the vendor item number), offers are created that the connector does not know and updates neither in price nor in inventory.

The generated workbook

Sheet Best-Match-Input with the five columns of the Amazon template:

Column Content
Seller SKU Seller SKU (required)
UPC/EAN Barcode (required, except with a GTIN exemption)
Barcode Checker Check result: OK EAN, OK UPC – matches the check formula of the Amazon template
Brand Brand (required)
Title Title (required)

All cells are written as text so that leading zeros of a barcode are kept.

Sheet "Skipped"

Contains every item that was not included in the file, with the item number, the values found and the reason:

Reason Meaning
Missing Barcode No barcode found. Maintain the EAN/GTIN on the Amazon item or on the item card.
Invalid Barcode Length or check digit is wrong. Amazon only accepts UPC-12 and EAN-13 – a 14-digit GTIN (outer case) is excluded here.
Duplicate Barcode The same barcode already occurred. Amazon needs exactly one SKU per barcode; the first line was kept.
Missing Brand No brand found. A wrong brand leads to wrong matches, so nothing is guessed.
Missing Title No title found.

After the run, a message summarizes how many items were checked, exported and skipped per reason.

Limits

  • The template holds 49,998 rows. If the filters select more, the report stops with a message – in that case, narrow the selection by item category or vendor and export in several files.
  • Items are exported without a variant. Variant listings are not included.

Tips

Sequence

  1. First search for the ASINs – with the ASIN sync (job ASIN_SYNC), Search ASINs for Selected Items in the Amazon Items list or the Amazon Catalog Search – and assign the matches in the Amazon ASIN Search Queue; assigned ASINs are stored on the Amazon item and stay in the system.
  2. Then run this report with Only Items Without ASIN: the file then contains only the open cases.
  3. Submit the file to Amazon and maintain the ASINs reported back via the Amazon ASIN Search Queue or on the Amazon item.

Supplier data as a source

Supplier data describes the catalog, not the individual listing. If Fill Gaps from Supplier Data is turned off, missing values appear in the "Skipped" sheet instead of being filled in silently – that way you see where the Amazon item still needs to be maintained.
